This blog is one of several highlighting Theta’s amazing staff and what they do to keep Kappa Alpha Theta Fraternity, Theta Foundation, and Fraternity Housing Corporation (FHC) functioning and thriving every day.
The administration department at Theta headquarters is a small but mighty team! We currently have five staff members in this group:
Our admin team has over 65 aggregate years of Theta experience!
The administration department is responsible for HQ facility management, human resources for Fraternity and FHC, meeting planning logistics, new member administrative tasks, shipping and receiving, info email inbox management, member access to Theta Portal, and address changes.
Chris, Rick, and Paige spend most of their work time at our Indianapolis location while Jenny and I primarily work remotely.
While no two days are the same, a typical day for Chris involves reaching out to chapters with instructions and reminders on the processes for getting our newest members into our database and placing orders for badges, membership cards and certificates, and ordering links for our newest member classes. You'll often find Chris organizing boxes of these items for shipment.
During Convention years, Chris manages attendee registrations, which includes ensuring all delegates' flight arrangements are scheduled and that their convention schedules are correct. She creates registration packets and answers questions. If you've attended Convention and had a question, chances are you spoke with Chris!
Rick is often busy around the office, delivering mail to those who are onsite, doing his daily facility checks, or showing a repairman or inspector around. If you find him at his desk, he's usually working on UPS online shipments, new member portal access assistance or ordering supplies. Rick also assists the IT team.
Jenny's workdays are filled with ensuring new FHC employees have submitted all their necessary HR paperwork, that employee records are up-to-date, processing payroll, assisting the FHC property managers with HR issues, following up on state tax accounts, staying abreast of rules and regulations for states in which FHC has employees, ensuring chapters are following employment laws and operating in accordance with employee contracts (where applicable), and shipping updated federal and federal labor law posters to the FHC chapters. There are currently 181 FHC employees.
Paige works in both the finance and administration departments. In administration, Paige manages our HR operations, which includes new hire setup; sometimes that involves registering for tax accounts when we hire employees in different states and ensuring that all individual state taxes are correct and up to date. She also is responsible for termination processing, payroll, benefits assistance, phone back-up duties, managing several email inboxes, and publication of our weekly staff newsletter.
My time is primarily spent managing the Fraternity's overall compensation package, which includes benefits package review, updates and education, compensation strategy, and employee engagement. When we have updates to our HQ facility, I oversee this work. My role with convention includes property selection and liaising with the hotel on menus, room stage sets and transitions, guest rooms, and A/V. I manage the budget and staff schedule as well as the relationship with our travel agent.
The work of the admin team is varied and vast. While we all work toward the common goal of supporting Theta and our members, we each have very distinct roles and responsibilities. Every day is different (and often an adventure!). We take pride in our areas of expertise and how they fit into the larger Theta picture.
